If the caller is new, the agent creates a candidate record from scratch, capturing their name, contact details, role interest, and a summary of what was said. During the conversation, the agent can list open jobs to match the candidate to a role, pull the hiring manager's name, and update the application stage (for example, moving someone from submitted to phone screen). After the call, interview notes and screening answers are written back to the candidate profile so the recruiting team has full context without manual data entry. The agent can also look up users in your Greenhouse account - recruiters, coordinators, hiring managers - to route calls to the right person or reference them by name during the conversation.
